Rooftop solar installers

Every project from enquiry to subsidy on one screen, so a stuck file is seen on the day it gets stuck.

Young, owner-run firms that install rooftop solar for homes, shops and small factories. Every project follows the same steps: enquiry, site survey, quote, application on the government portal, installation, net metering, subsidy. Leads and site work run on WhatsApp, Excel and paper. The last part of the money waits for the last step, so a file that sits at the DISCOM for three weeks is the firm's own cash sitting there.

Sounds familiar?
  • The quote goes out, and the second and third follow-up never happen. The customer signs with the installer who called back.
  • Every project has the same steps, but the stage of each one is in someone's head or in an Excel sheet that is a week old.
  • A file sits at the DISCOM for feasibility or net metering, and you notice only when the customer calls, angry.
  • Your last payment waits for the net meter and the subsidy, so every stuck file is your money stuck.
  • The customer asks for an update every few days, and each answer takes three phone calls.
  • After installation, the service visit and the yearly cleaning are remembered only when something stops working.

What we set up for rooftop solar installers

Start with the one that hurts most. Each opens as a live demo with sample data. The next one is added only when the first is used every day.

How the work runs today

A lead comes from a reference, a call or an ad. Someone visits the roof, checks the load and the shadow, and sends a quote on WhatsApp. If the customer agrees, the same steps follow every time: registration and application on the national portal, feasibility approval from the DISCOM, material, installation, the net meter application, inspection, commissioning, and then the subsidy claim.

The steps are fixed. What changes is how long each one takes, and nobody is watching the clock on every file. The project list is an Excel sheet with one person, the documents are in WhatsApp chats, and the site team works from calls. A file that has been waiting for its net meter for twenty days looks the same in the sheet as one that went in yesterday.

What to fix first

Decide where you lose more: enquiries that never get a second call, or projects that stall after the advance. A firm with more leads than it can call needs follow-up first. A firm with money held up in running projects needs the project tracker first.

What we set up

One process at a time, on your own data, in about two weeks, at a fixed price.

The Solar Project Tracker puts every project on one board, under the step it is at: survey, quote, application, installation, net meter, subsidy. Documents are ticked for each project as they come in, so you see what is missing before the day of filing. A file that has not moved for 15 days turns red, and every call or visit to the DISCOM is noted against it. The balance that waits for the net meter and the subsidy is listed project by project. When a step is done, the customer gets a ready WhatsApp update from your own number and stops calling to ask. For the sales side, Enquiry Follow-up gives every lead a person and a next date, and the Quotation Tracker shows which quotes are still open.

What stays as it is

The national portal and the DISCOM portal stay exactly as they are. We are not connected to them and we do not file applications for you. Your team does that as today, and marks the date in the tracker. Your design or proposal tool stays. Tally stays for billing.

How we work with you

You share your project sheet and five or six running projects with their real dates. We come back with a working demo on those projects. If it fits, you get the scope and the fixed price on one page. Setup, loading running projects and training the office and site team take about two weeks. One person on your team keeps it updated. After go-live, a small monthly plan covers fixes and small changes.

Questions

What rooftop solar installers ask us

Is it connected to the national portal or the DISCOM?+

No. Applications, feasibility, net metering and the subsidy claim are done on the government portals by your team, as today. The tracker records the date of each step and shows which file has been waiting too long.

We already use a solar proposal or CRM tool. Do we have to stop?+

No. Keep it for proposals and design. What we set up is the part after the customer says yes: steps, documents, dates and follow-up with the DISCOM and the customer. If your tool already does that well and the team uses it daily, you may not need us.

Can the customer see the status of the project?+

Your team sends the customer a short WhatsApp message when a step is done, in one tap, in your wording and from your own number. There is no customer login to manage.

Does it track service and AMC after installation?+

That is a separate process, the Service & AMC Manager: service calls, yearly visits and AMC renewal dates. Start with the one that holds up more money today.

How long does it take to start?+

About two weeks for one process, including loading your current data and training your staff. You first see a demo on your own data, before you pay anything.

Is it charged per user?+

No. The setup has one fixed price and the monthly plan is flat. Add as many staff as you have.
